Closeout CRM ("we", "us") provides project management software for trade contractors at closeoutcrm.com. This policy explains what we collect and how we use it.
Account data: your name, email, phone, company name, and password (stored as a salted hash — we never see it). Business data you enter: projects, customer contacts, photos, documents, measurements, proposals, pricing, and job costs. Billing: payments are processed by Stripe; we store your subscription status and Stripe customer reference, never your card number. Technical: standard server logs (IP address, request time) kept for security and troubleshooting.
Solely to run the service for you: showing your data to your team, generating proposals and reports, sending emails you request (invites, proposals, password resets), and processing your subscription. We do not sell your data or use it for advertising.
Your data is isolated to your company's workspace. Team members you invite see your projects; job costs and profit are visible only to admins and members you grant access. Content you explicitly share (gallery links, proposal links, sign links) is viewable by anyone with the link until you disable it.
We use Stripe (payments), Google Maps / Google Solar (address lookup and roof measurements — addresses you search are sent to Google), OpenStreetMap/Nominatim (geocoding), and our hosting provider. Each receives only what's needed for its function.
We keep your data while your account is active, plus routine backups. Email support@closeoutcrm.com to export or permanently delete your company's data.
All traffic is encrypted with HTTPS. Access is protected by authenticated logins, per-company data isolation, and rate limiting. No system is perfectly secure; notify us immediately of any suspected breach.
